Business Operation Model digitalization Through My Experience :-

After you start a business and the business becomes successful, the amount of work you have will definitely increase. Also, your time will become very limited. There will be a point where you will not have enough days to get the work done. 🏃‍♂️

Then, if you manage all those tasks in one place, you can move forward without stress.
If the tasks get tangled and messy, problems will arise in the business. And you will get stuck. 🫣

So, this is the very simple digitalized setting that I have created to avoid those problems. 🧑‍🏫

First of all, it is very good if you separate your business from your personal work and create a separate setup for it. 📌️

That means a separate Smart Phone for business, a separate Phone Number for it, and a separate Email. It is very valuable to create and separate the business from your personal life. 👨‍🔧

Below are 25 Mobile Applications that I keep on one Board for my Business and use throughout the day. 👇

Through these Applications, I can get an overview of all the operations of my Business at the end of the day and all the information needed for making future decisions.

Let’s explain these one by one and see how to set

🔸 First is my Meta Application Setting. I use Facebook, Instagram and Whatsapp Business here. There is a Business Suite to integrate these and analyze the Insights and Ad Campaigns.

➖ To get this here, I have set up my Facebook Business Manager to set up ads and have a separate team member operate the technical side.

➖ Also, to post content, I have assigned access to a separate team member. Then I am shown how their tasks will be done.

🔸 The second one is the other social media applications that I use for business

➖ TIK Tok, X, Youtube, LinkedIn, although we do not do day-to-day content, we try to maintain their business presence as much as possible. But to understand the market and to be updated on trends, we watch their content more. Also, when I touch that algorithm, it is important to keep my attention on the business at all times.

🔸 The third raw is that we actually do content in a business, we need to make this Related Content Feed. That means we need to find knowledge about what is happening in the business industry and the market.

➖ For that, I definitely use Google. You need to setup a Google Business Profile for your business on Google. I use Google Maps, Gmail, Translation, Drive, Sheets, Docs. I haven’t tried Google Ads or SEO for them yet. Those features are the best ones that can be used according to each business.

➖ Deepseek is very good for getting ideas for content, making content summaries, and doing data analysis. I find it a little more friendly than Chatgpt.

Also, the analysis side is very good. If you give a well-developed data set, it gives the best results for points like what you need to do in the future, where you need to change. When the data set increases, some limitations come. But this is easier than others on mobile.

➖ I have Netflix to watch these business related documentaries, films, and series.
I don’t watch most of the movies that come out of this. I watch the things in my chosen area the most.

Series like What/if, The China Hustle, Capital C, American Factory

Movies like The Pursuit of Happyness, The Founder, The Wolf of Wall Street, Steve Jobs

Documentaries like Minimalism, Print The Legend, The Director are a must-watch no matter what business you do. Doing something beyond what you think is a great support for your business.

➖ I use Patreon, I usually subscribe to channel networks of content creators in Sri Lanka and abroad that I like to engage with frequently. I usually watch all of this on the weekends.

➖ In the fourth Raw, I have Com Bank’s ePassbook for my finance side and Combank Digital App for Transfer and Bill Payment. Many people know about this. It is as easy as Combank to make a transaction quickly, and other banks have not been able to do so.

➖ Next is Microsoft’s M365 Copilot. This is where the complete tasks of the business are run. This is where documents and MS office packages (Excel, Word, Access, Powerpoint) are available online and you can easily update work with other members of the team, assign work and continue to work.

➖ When this is linked with Copilot itself, MS Teams, Onedrive, Outlook, you can run this as a complete ERP system. This is the best one I have set up for internal communication within the business. But to get good information about this, you have to need to develop and automate your business well with Excel. Then you need to assign the relevant Job, Authority and Responsibility Members to the system. That part is in your hands. Also, the Day to Day Updates need to be updated by the Team Members.

➖ The next one is Zoho Books. This is an Accounting System that can actually do Financial Reporting. It is very easy to keep day to day accounts of the transactions in the business according to IFRS Standards. Also, you can add members to the relevant work.

➖ When a client enters the business, send Estimates, Invoice when a sale occurs, and also set our Service Product Price, Cost, Client List, Supplier List, according to each selection, create Invoice Value according to the Client’s work, and record it when the Client makes a payment, and Due Invoice Reminder can be done in this. Also, if you have separate employees for your Sales, you can lock that work separately and give it to them.

➖ Also, Bill and Expenses can be easily accounted for on an Accrual Basis.

➖ You can take pictures of the source documents of sales receipts and payments and organize them into an internal numbering order.

➖ If you do this job accurately, you can get reports not only annually, quarterly, monthly, weekly, daily, but also hourly.

➖ Also, you can get high-quality report analysis from this, which can be submitted to Tax Compliance for a single Audit.

We have set up Zoho mail for these Zohobooks. When communicating with external parties, you can keep it separate.

Finally, Raw has four apps that can be used to quickly convert a digital asset like a photo or video into content.
Picsart, Pixel Lab for PNG, and Youcut and Capcut for video can be used one by one as needed.

Like all of these applications, you need to pay for them to get the best results.

The amount of work that can be done with free packages is limited. But there is no loss in any way. That’s for sure.
